BBYO PASSPORT SUPERVISED FLIGHTS

Group supervised flights are booked through BBYO’s travel agent, offering assistance with ticketing issues. Based on the guidelines below, families will either submit flight requests directly with BBYO or directly with our travel agent, Traveland. For these flights, the flight registration fee is $250. As an incentive for booking on our group flight through Traveland, BBYO will apply a $250 discount to your teen’s program registration balance.

• All Trips to Israel (other than ILSI), Europe, Asia and the Americas: Families will use this link to directly book their flight through BBYO’s travel agent. All questions related to booking flights can be directed to Traveland at 1-800-246-0563 or [email protected].
• ILSI and Community Partner Trips: Families will submit their flight request directly to BBYO’s registration account. There is no registration fee for these flights.

 As general rule, group tickets: 

• Are not refundable, creditable, or eligible for cancellation of refunds.
• Cannot be booked using credits, gift cards, miles, or vouchers.
• Are booked in a different class fare than individual tickets. 
• If a teen cannot join the supervised flight after ticketing, no refund is issued and “no-show” fees may apply. 

• Guaranteed BBYO staff supervision from departure through arrival and landing. BBYO staff will be present at the airport and on the flight to assist teens with check-in, security, boarding, customs, and any unexpected situations. 
• Dedicated travel agent support to assist with delays, cancellations, rebookings, or other travel-related issues. 
• Travel alongside peers, fostering a sense of community from the very start of the experience. 
• If travel to or from the program is interrupted due to delays, cancellations, passport issues, etc., BBYO will provide staff supervision for up to 24 hours and help book a hotel at the family’s expense, if the teen is booked on the group flight. If arrangements cannot be made within 24 hours, families must coordinate lodging and supervision.  
• Centralized coordination of flights, minimizing confusion, and reducing travel-related stress for teens and families. 
• Increased safety and accountability through coordinated group travel protocols. 
• Organized transportation from the airport to the first program location. 

The cost of a group supervised flight is separate from the program’s land cost.

Ticket costs vary by destination and dates. Families will receive details about pricing after registration. A flight booking is confirmed only after the flight cost is paid in full by the payment deadline communicated with families by either BBYO or Traveland.

Note: After the final payment deadline, space and supervised flight pricing cannot be guaranteed. BBYO may adjust the flight price by up to 5% based on exchange rate or fuel fee changes outside their control.  

Most supervised flights depart from the New York City area. This may vary by trip, and families will be given plenty of notice about departure location and details.

BBYO does not recommend booking domestic flights to meet the group before the group supervised flight details are announced.  

BBYO works with a range of reputable international airlines. The airlines used change year to year depending on schedule, cost, and availability. Some programs may use more than one carrier if the itinerary includes multiple countries.  

Yes! Connecting flights are included in the group supervised flight cost if a teen is connecting between Europe & Israel, Thailand & Israel, within Europe, or from Western USA Trek to Stand UP Adventure Costa Rica

Families may choose to opt out of the group supervised flight and make independent travel arrangements for their teen without BBYO or travel agent assistance. However, BBYO strongly recommends all North American participants to fly on the group supervised flight, if applicable for the teen's program, for the safest and most supported travel experience.

As long as a teen is booked on the group supervised flight, families are only responsible for booking their teen's transportation to meet the group at the departure airport on departure day, as well as transportation home once the returning supervised flight lands after the program has concluded. MEALS
Meal choices will be offered on the airline during check-in, but most will not have kosher certification unless specified. Nut-free meals cannot be guaranteed because other passengers might bring snacks with nuts. Teens with allergies should carry medication and EpiPens in carry-on baggage.

SEATING
Seating is pre-assigned by the airline. Special requests can be made at check-in, but BBYO does not provide seat assignments ahead of time.

POINTS
Teens can collect frequent flyer or airline reward points, but ticket information is provided only at check-in. BBYO cannot guarantee ticket details after the trip. For more information, please contact Traveland at 1-800-246-0563 or [email protected].

Detailed airport instructions will be emailed well in advance. On departure day, participants meet staff at a designated meeting spot. If a teen connects on a separate domestic flight, BBYO staff cannot escort them from one domestic gate to another.

Travel days often involve long waits, and BBYO does not provide meals on travel days—teens should bring snacks and spending money.

BBYO will only assign a staff chaperone if required by the airline for unaccompanied minors. Parents must discuss unaccompanied minor arrangements with BBYO before booking domestic flights. Last-minute requests may not be guaranteed.

This is only possible if your domestic and international flights are issued on the same ticket. If the flights are on separate tickets, both Traveland and BBYO strongly discourage attempting to check bags through, as this is rarely permitted and often results in delayed or lost luggage.

Yes! Teens can add TSA Pre-Check or Global Entry information when they complete the flight form with Traveland, or at check-in at the airport. BBYO does not collect this information in advance.

Group tickets are booked early in a different fare class than typical online fares. Tickets are priced differently by the airline as they are ticketed and issues in a different system than individual tickets.

Domestic flights can only be linked to the group’s international ticket if the airlines permits it and if both tickets are booked through Traveland. Flights on separatee airlines, even partnered airlines, likely cannot be combined. Teens should pack all prescriptions and medications, EpiPens, glasses or contact lenses, and at least one change of clothes in their carry-on in case checked luggage is lost or delayed.
